Registration Procedure

STEP 1: MEMBERSHIP

CSS Members benefit from reduced registration fees.  If you are not currently a CSS member, you can join or renew prior to registering for the meeting using the ‘Join or Renew’ button below.

STEP 2: Code of Conduct

By attending the CogSci 2023 Conference, you are required to adhere to the society’s Code of Conduct.

STEP 3: Register

This will be a modified hybrid conference: presenters will be given options for in-person or remote presentation, and online attendees will be able to see live-streamed presentations and ask questions. In addition, all presentations will be recorded and viewable on-demand by registered participants via our online platform.

You will not be able to attend the conference without prior registration. Please note that a fee applies to attend workshops and tutorials and are listed below and there is NO one-day registration available.

Please be advised

While not all visitors to Australia require a Visitor Visa, for those who do, we are getting reports that visa applications are taking longer to process than normal, due to a backlog from the pandemic. If you require a visa for travel, we recommend applying as soon as possible. Podium will provide letters of invitation to paid registrants who are applicable. Contact Podium for further information.

The Student Member registration rate is only for Students who are Members of the Society. You can join the Society and register for the conference at the same time to get the member rates. To qualify for Student Membership, you must show proof of your current student status.

Residents of countries defined as Low and Middle Income by the World Bank are eligible for a reduced rate.  Please note, you must be living in the country to receive the discounted registration rate.

CogSCI Family Grant Program

The Cognitive Science Society wishes to support registered attendees who are presenting work as a primary author in a poster or oral presentation with their family care costs.  If you would like to learn more about this grant program, please view the family grant details on the Awards page.  Submissions are due by May 19, 2023 for consideration.

How did you set the registration fees?

We know that the conference is an important event for our members, and we therefore try to keep registration rates as low as possible. Running a conference is always expensive, and our costs are higher this year (primarily due to running a modified hybrid conference in Australia, although all costs are up). With this in mind, we have set them as low as we can without risking generating an unsustainable loss for the Society. We set our online-only rates at a level which were substantially cheaper than in-person rates, reflecting the fact that online-only delegates make lower demands on the physical infrastructure (and depending on time zone may not be able to catch all sessions live), while acknowledging the fact that making the conference available remotely does have substantial costs – as well as the use of the venue for the in-person audience, our AV costs and online platform costs are substantially higher than they would be if we were running an in-person-only conference.

As a result of this approach the Society will lose money on this year’s conference – we currently estimate a loss in the region of $150,000, although there is a lot of uncertainty about income from registrations since this is our first conference in Australia. We expect that our fees will evolve over the coming years as we learn more about the hybrid and modified conference setup, and become better at estimating attendances in-person versus online. The Society will continue to use its financial reserves to smooth this transition as much as possible for our members, and home in on a financially sustainable set of rates for the future.

 

Where does my registration fee go?

We anticipate it will cost approximately US$500,000 to run the 2023 conference. The main components of the running costs are roughly as follows:

      • Venue (room hire, wifi, poster boards etc): $90k
      • In-venue AV (equipment and support) plus virtual platform: $205k
      • Food and beverage expenses: $55k
      • Conference administrative support, registration, banking, insurance etc: $90k
      • Travel awards and prizes: $30k
      • Travel for invited speakers: $30k

While we will not be able to provide childcare at CogSci 2023, we have compiled a list of trusted agencies that attendees can contact directly to make arrangements.

Registration Cancellation Policy

Cancellation Policy: All cancellations must be received in writing. The amount paid less a $50 processing fee will be refunded for cancellations emailed prior to 30 June 2023. Following this date, no refunds will be issued.

Transfer Policy: There will be a charge of $50 to transfer a registration to another person. Transfer requests must be made by 30 June 2023. Following this date, no transfers will be issued.

The cancellation/transfer fee will be waived for participants who have not been able to secure visas.

The Cognitive Science Society reserves the right to modify the conference program. In the event of a cancellation, administrative fees are assessed and membership is not refunded.
